The role
The Operations Manager at HelloBiome plays a crucial role in orchestrating and optimizing our clinical studies, ensuring seamless execution and exceptional participant experiences. This position requires a detail-oriented individual with strong organizational skills and the ability to manage multiple projects simultaneously. This is a remote position that requires flexibility to work across different time zones, primarily PST and CET.
Qualifications
- Master’s degree in a relevant field (e.g., Business Administration, Operations Management, or Life Sciences)
- 3+ years of experience in operations management, preferably in a healthcare or research setting
- Excellent organizational and project management skills
- Strong communication abilities, both written and verbal
- Proficiency in data analysis and reporting tools
- Ability to work independently and as part of a remote team in a fast-paced environment
- Experience working in or managing remote teams across different time zones
- Flexibility to adjust working hours to accommodate PST and CET time zones as needed
Responsibilities
- Study Management and Execution
- Oversee end-to-end operations for claim studies, ranging from 30 to 200+ participants
- Manage study timelines, typically spanning 4-6 weeks, ensuring all milestones are met
- Develop and implement strategies to optimize study execution and participant engagement
- Communication and Coordination
- Serve as the primary liaison between clients, participants, and internal teams (Operations, R&D, and Technical)
- Provide bi-weekly status updates to the COO on all ongoing projects
- Craft clear, concise instructions for participants to follow throughout the claim study process
- Coordinate effectively across different time zones, primarily PST and CET
- Participant Support and Engagement
- Monitor and promptly respond to support requests from study participants
- Oversee email communications to participants, ensuring timely and relevant information delivery
- Collect and analyze user feedback to drive continuous improvement in operational processes
- Inventory and Kit Management
- Oversee the preparation and quality control of microbiome sampling kits
- Manage inventory levels for all study-related materials, ensuring optimal stock levels
- Coordinate remotely with on-site team members for kit production and inventory management
- Process Optimization
- Develop and maintain Standard Operating Procedures (SOPs) for key operational processes, including:
- Kit building
- Email generation
- Participant progress tracking
- Platform management
- Continuously identify and implement process improvements to enhance efficiency and study outcomes
